This guide will show you how to share content from Futures with a wider audience.
Access to Futures requires a login. For restricted, private and confidential privacy workspaces, managers must approve membership requests. Sharing content to non-members can at first seem difficult, as a direct link to our platform will take someone without an account to the login page.
To make it easier for you and your audience, we've provided some guidance below on how to effectively share your content and provide access to your workspace.
Invite them to become members of your workspace
When sharing links to your workspace and its contents, be mindful of the two different user types that will be clicking on this link:
- People who are already members of Futures and/or your workspace
- People who are not yet a member of Futures
The most effective way to share the content on your workspace with those who are not a member of Futures is to invite them to join your workspace. To do this, all you need is their email address.
You can invite as many email addresses as you need in one single action. Please see our guide on how to do this below:
This provides the invitees with a Futures login and adds them as a member of your specific workspace.
Ensure the permissions on the item are correct
Before you share content wider, check that the permissions on the item are set as intended.
It's essential the 'View' permission, which determines who can access an item, has been set to the intended audience.
Also check that the 'Modify' permission, the ability to make amendments to and delete the item is set appropriately.

Share your workspace's contact information
Even with the best preparations, users may struggle to find the content you are trying to share with them. That's why it's vital you make it easy and simple for users to get in contact with the workspace managers.
Each workspace has a unique email address that delivers messages to its private messages. You can construct your workspace manager email address by taking the unique part of the workspace URL and adding -manager@future.nhs.uk.
- For example: The manager email for https://future.nhs.uk/yourworkspace will be yourworkspace-manager@future.nhs.uk

Check the workspace membership requests
Users who are already registered on Futures can request access to your content by requesting to join your workspace through the platform.

Check the workspace private messages
Regularly check your workspace private messages for people who are requesting access to your workspace. Depending on your workspace membership rules you can either invite them to the workspace or respond and provide a reason why you are not permitting them access.
