Documents created in the Microsoft suite of tools (e.g. Word, Excel, PowerPoint) and shared on Futures can be edited collaboratively in real time using Microsoft for the Web. This allows multiple users to access and collaborate on a document, spreadsheet or presentation at the same time.
To collaborate on a document using Microsoft for the Web:
- Click on Open in Word/Excel/PowerPoint
- Under the Microsoft for the Web section, click on "Edit in the browser".
- When you are finished with the document, select 'Back' on your browser to return to Futures and for the changes to upload.
If another user needs to collaborate on the document at the same time, they can do so by selecting "Join editing session in the browser" on the document:
- Click on Open in Word/Excel/PowerPoint
- Under the Microsoft for the Web section, click on "Join editing session in the browser"
- When you are finished with the document, select 'Back' on your browser to return to Futures and for the changes to upload.
To access saved versions of the document:
- Underneath the document, click on "Versions"
- Select the document version from the list.
We ran a community huddle showcasing how this works alongside other users and you can watch this here:
Tips for collaborating with others on the web version of a Microsoft document:
- The document will open in the same window and not a new window
- Any changes made are saved in real time
- The last user to leave the document will have those changes saved
- To have the best experience, we advise no more than 10 users edit the document at one time
- The initials of the other users editing the document during the same session can be found in the top right corner of the Microsoft for Web window.
- Other users cannot edit a document on the desktop if one or more users are editing the document in the web version
- Users cannot edit the document in the web version if another user is editing it on the desktop.
