Many workspaces on the platform use permissions settings on content to make sure their workspaces are secure and the right content is being shared with the right members. This top tips guide sets out how you can find help applying permissions and how to check to make sure permissions are correct across your workspace.
1. Set up permissions on workspace content
If you want to know how to to set up permissions on workspace content, read our article on permissions:
2. Remember to copy permissions for folders holding restricted content
The permissions of a folder aren't automatically copied to the content within that folder. If the same permissions need to be applied to all documents, sub-folders and items in that folder, make sure to select 'copy permissions' when you modify the top-level folder permissions.
3. Use the Review Permissions feature to check permissions easily.
You can see a support article on how to review your permissions here:
We suggest you use this feature regularly to ensure your workspace is secure.
4. Privacy settings and content permission settings are different.
The workspace privacy settings determine how a user can join the workspace and content permissions determine who can access files, folders and other content items. For example, in an open workspace you can have some areas restricted to just members, managers or specific teams of members, and in a restricted workspace you can have content open to all users on the platform, not just workspace members.
To see how to set your Privacy settings read this article:
Remember to use the Review Permissions feature to check everything is set up correctly.
5. Make sure all workspace managers are familiar with how Futures permissions work.
Lots of Futures workspaces are managed by multiple people and teams. To ensure permissions are used correctly, make sure all workspace managers understand the permissions settings available.
Please direct them to the Managing Workspace Permissions section of our support centre to learn more about permissions.
6. When you need to restrict content, make sure it should be on the platform in the first place.
Our platform policies and terms and conditions set out the rules for allowed content on Futures. Person or patient identifiable data, such as staff appraisals or meeting minutes with patient notes, commercially sensitive data such as sensitive procurement content and any other inappropriate content set out in our policies are not allowed on the Futures platform. If you have a query about content you want to upload, please contact our support team using the blue 'Support' button on the bottom right of the platform.
