As a workspace manager, you should be upholding information governance (IG) best practice and following our Terms and conditions to ensure you have a safe and effective community. To support you to do this, we have brought together policies and learning into the below top tips:
1. Set up a process to regularly review your workspace content.
Update or remove any content that is out of date or no longer relevant for you or your members. This will help keep your workspace useful for your members and ensure they are getting the right information when needed.

2. Manage your workspace managers.
Make sure you intermittently review your membership, particularly workspace managers. Make sure those that have manager permissions are still working in the team and should have total access to your workspace.
3. Consider who you invite to your workspace
When running membership drives, make sure you only invite people who are the target audience of your workspace and would get value from being part of the community.
It can feel like growing your workspace members is a really important metric, but numbers are not better than engagement so don’t just send out invites for the sakes of popularity.

4. Inviting users in bulk.
Before inviting a large number of new members, make sure you have started to populate your workspace with useful content and that the purpose of the workspace is clear to new members.

5. Don’t upload sensitive content without prior authorisation.
Please don’t upload sensitive content without prior written authorisation from the author and the Futures team. Sensitive content can include documents with patient information or sensitive commercial information.

6. Invitations expire after 28 days if not actioned by the user.
If a new user does not accept the invitation to register to Futures and join your workspace within 28 days, the invitation will deactivate, and they will need to be re-invited. Bear this in mind during membership drives.
