Workspaces on Futures can have different privacy permissions depending on how accessible the workspace managers want their content to be.
The privacy setting affects what Users and Members can access.
- Users - Any individual with a Futures account.
- Members - Individuals who have specifically joined your workspace.
The four privacy settings are as follows:
- Open: The workspace is open to all Futures users. Users can become members without managers having to approve their request. You can create folders with restricted access by following this guide: Setting or changing the permissions on a folder
- Restricted: Users can view the homepage and items set with the view permission to 'Users'. To become members they need to be invited by the managers or have their request to join approved by the managers. - Private: The workspace content can only be accessed by members. Users can only become members when invited by the managers or have their request to join approved by managers.
- Confidential: The workspace is hidden and cannot be found by users on Futures. Only users with direct invites can join the workspace as a member. The use of this setting is allowed but not encouraged by Futures.
Workspace managers can change their overall workspace privacy permissions at any time, by doing the following:
- Navigate to the workspace you want to change the privacy permissions for and select 'Manage workspace' (three cogs icon) in the top right
- Select 'Settings'. Then select 'Permissions' on the tabs at the top.
- Under 'Privacy' you will have a choice of 'Open', 'Restricted', 'Private' and 'Confidential'. Tick the permission you want to have.
- Select 'Save' at the bottom when done.
Changing the overall privacy permissions of your workspace will not affect the permissions you have on individual items. It will only affect who can see your homepage. Your item permissions can reviewed at any time by using this article: Viewing the permissions on all the items in my workspace.
