Notifications on Futures are primarily user‑led. Each user controls which in‑platform and/or email notifications they receive. You can read more here: Managing Futures email notifications and Subscribing to notifications on items
When you create or update an item, you can choose to notify other members of your workspace about it. A 'Notifications' section will always appear at the bottom of the page before you select 'Save'. This section lets you send in‑platform and, depending on users’ email settings, email notifications to relevant Futures members about the item.
Each of the options in the 'Notifications' section are explained below.
'This is worth sending a notification about'
Ticking this box reveals additional notification options (explained below).
If you tick only this box and then select Save, an in-platform notification is sent only to members already subscribed to the item. For example, if you are adding a new document to a folder a user is subscribed to, they will receive a notification. Similarly if you are updating an existing item a user is subscribed to, they will be notified.
They will only receive an email if they have 'about content I subscribe to' ticked in their email preferences.
'Share this with additional members to make sure they are notified'
Ticking this opens further options to notify specific members and/or teams. On its own, this option does not do anything more than the previous option unless you also select members or teams.
'We'll notify the members you choose and subscribe them to future notifications about this item' & 'We'll notify people in the teams you choose and subscribe them to future notifications about this item'
These options will subscribe the member(s) and/or the members of the team(s) you specify to the item and notify them about it. If they have email preferences turned on for subscribed items, they will also receive an email.
'We'll notify all members who can view this item except those who have turned notifications off'
This sends an in-platform notification to every member who can view the item. Members will only receive an email if they have 'Main changes' turned on in their email preferences.
'Add a comment'
This allows you to add text that will appear only in the email notification sent to users. You can use this with any of the notification options above. If a user has email notifications turned off, they will not see this text in their in‑platform notification.
